As an Airbnb host, your goal is to provide a memorable and seamless experience for your guests from the moment they book their stay to the day they check out. One of the key elements in achieving this goal is to have well-crafted check-in instructions.
These instructions play a pivotal role in ensuring that your guests have a smooth and stress-free arrival at your rental property.
In this comprehensive guide, we will explore the best ways to create Airbnb check-in instructions that leave a positive impression, boost your chances of receiving 5-star reviews, and set the stage for a memorable stay.
The Importance of Detailed Check-In Instructions
Before getting into the specifics of coming up with check-in instructions, let’s understand why they are such a crucial part of the Airbnb experience.
A Warm Welcome for Airbnb Guests
The check-in process is often the first physical interaction your guests have with your rental property. Providing clear and friendly instructions helps create a warm welcome and sets a positive tone for their stay.
Boosting Your Airbnb Rating
Positive reviews are the lifeblood of your Airbnb business. Detailed check-in instructions contribute to a smooth arrival, increasing the likelihood of guests leaving rave reviews.

Is it sufficient to include the check-in instructions within my Airbnb listing?
Incorporating your check-in instructions into your Airbnb listing alone may not provide a comprehensive solution, as these messages can be easily overlooked, and guests may not have them readily accessible when they are needed the most, particularly upon arrival.
Crafting Effective Airbnb Check-In Instructions
Now that we understand the importance of check-in instructions, let’s explore how to create them effectively.
Start with a Welcome Message
Begin your check-in instructions with a warm welcome message. Express your excitement about hosting them and provide a brief overview of what to expect.
Include Step-by-Step Instructions
Break down the check-in process into simple, step-by-step instructions. This can include details on key retrieval, entry codes for smart locks, and directions to the property.
Specify Check-In and Check-Out Times
Clearly state the check-in and check-out times in your instructions. Make sure to account for ample time between check-out and the next guest’s arrival.
Communicate Your Contact Information
Provide your contact information, including phone number and email, so that guests can reach out to you if they encounter any issues during their stay.
Highlight Specific Rules
Reinforce your house rules in the check-in instructions. This ensures that guests are well aware of your expectations regarding issues like smoking, pets, and noise.
Adding a Personal Touch
To create a lasting impression, consider adding a personal touch to your check-in instructions.
Include Local Recommendations
Share recommendations for nearby grocery stores, local coffee shops, and other points of interest. This can enhance the guest experience and show your commitment to their comfort.
A Welcome Letter
Consider including a welcome letter that introduces guests to the property and its unique features. This adds a personal touch and makes guests feel valued.
Check-Out Instructions
Don’t forget to include check-out instructions in your document. This helps guests understand what is expected of them upon departure.
Airbnb Check-in Instructions Sample
Creating a template for your check-in instructions ensures consistency across all your guests’ stays. It also saves you time when preparing instructions for each new booking.
Here is the exact template I use to send my Airbnb check in guide.
NOTE: Airbnb has variables you can add like [check-in-date] and [guest-name]. You can include these to personalize you check in message to guests! This is all setup in Airbnb’s automated message templates as well.
