Airbnb message templates are one of the best ways for an Airbnb host to maintain good communication with Airbnb guests. Airbnb messages can be used for anything from chatting with a potential guest about available vacation rentals to sending a booking confirmation message with a check-in date, to offering helpful information and additional details about the area that will optimize a guest’s experience during their stay.
Message templates allow for quick responses to guest messages while providing the opportunity for the guest to communicate with a real person. Using Airbnb message templates is the most effective communication strategy, leaves a good impression, and when done right, can ultimately lead to 5-star reviews!
What are Airbnb Message Templates?
Airbnb message templates are set layouts that make communication with guests quick and easy for the Airbnb host. You create the templates and save them to you Airbnb Host account so that you do not have to write a new message every time you want to send information.
Then, when you get a booking request or need to send a generalized message to a guest, the message template is already typed and ready for use! By using these saved message drafts for guest messaging, you cut down on your time spent writing text. Ultimately, this leaves a great impression and keeps your Airbnb business running smoothly.
Speaking of a great first impression, try using a Touch Stay digital welcome book to really impress your guests. It saves time and guests can refer back to it whenever they need to with the click of a button.

Airbnb Automated Message Templates
The good news is that Airbnb platform has built-in scheduled messaging now! When I first started hosting in 2019, this wasn’t a feature yet. About a year later, this screen for “scheduled messages” became available and I couldn’t wait to set it up.
This allows you to not only create Airbnb message templates that you want to send to guests for certain scenarios but this allows you to set a schedule for the timing of when each specific Airbnb message template is sent out.
The automation is also property specific so you can have different automated messages for each Airbnb property on your account.
For those of you who are running an Airbnb remotely, the automated messages help make sure you’re not missing anything.
Automating any part of your short term rental business is helpful. Don’t forget about all the other Airbnb Automation Tools for success.
This is one of my favorite Airbnb host tools that is already built into the platform! The only drawback is that if you’re also listed on other places like VRBO, this is not available yet.

Airbnb allows you to add variables to their automated messages like ‘insert date’ or ‘guest name’. It’s a good idea to include things like check in/out dates in your check-in information messages!
Easy & Ready to Use Airbnb Message Templates
There are a few essential Airbnb message templates that all aspiring Superhosts should use. Keep reading below for great examples to model your own templates after.
Airbnb Message Template Ideas: Booking
A booking confirmation message is usually the first time an Airbnb host will interact with an Airbnb guest and is likely the most important message a host will send.
While creating a booking confirmation message template, start by thanking your guest for choosing your Airbnb listing, introduce yourself as their host, express your excitement about having them stay, and set the expectation for future communication regarding check-in details, house rules, and additional information.
The booking confirmation message starts the communication with a friendly tone and should encourage the guest to feel comfortable reaching out to you if they have any questions or concerns.
Keep your booking confirmation short and sweet, like the examples below.
Airbnb Message Template Ideas: Welcome Letter
The welcome letter message is similar to the booking confirmation message and the check-in message, and can be sent a few days after booking or a few days prior to your guest’s check-in date. This particular message is pretty flexible and can really include anything you would like. Some template examples have important information such as directions, an explanation of the check-in process, contact information, and may even include the house manual -while others may be a brief introduction with limited information. This template’s primary objective is to maintain open communication between you and your guest. Check out some of the examples below for inspiration.

Airbnb Message Template Ideas: Reminder Messages
The reminder message, though not required, is a great way to provide optimal customer service and excellent communication. This message is just a quick note to remind the guest of their upcoming stay and that you are looking forward to their arrival. Remind them that you will be sending all check-in details the day before their stay. You could also include a reminder of the check-in time and express that you’re there for any questions they may have. I’ve listed some examples below that you can use to get started!
Airbnb Message Template Ideas: Check-in Messages
The check-in message is sent prior to your guest’s arrival and is one of the most essential airbnb templates. In the check-in message, be sure to provide very detailed yet simple check-in steps in order to ensure check-in is as easy as possible for your guest.
You can also take this time to provide Wifi details, information on where extra supplies are located (like kitchen equipment or extra bed linens), the amenities included with their stay, local restaurant recommendations, and any other information you feel will enhance your guest’s experience. Try some of the examples below!

Airbnb Message Template Ideas: House Rules
The house rules message lays out the guidelines for staying in your vacation rental. This particular template is often sent with the check-in template or the check-up template as an attachment or link to ensure your guests read the house manual.
This message can include rules about noise ordinances, smoking areas, heating, and air conditioning maintenance, laundry, and kitchen supply information, and using shared amenities, among anything else you can think to include.
In your house rules template, be concise and clear about what the rules are, keep them simple but also make sure they are very clear and thorough. If you need some ideas, scroll through the examples below.
The below is an example of the house rules being linked or attached to the check-in or check-up message.

Airbnb Message Template Ideas: Check Up Messages
A check-up message is sent about halfway through your guest’s stay, though some superhosts suggest that a great time to send it is the first morning of the stay right before the guests have lunch.
I use these messages to keep communication open, check to see if everything is meeting the guest’s expectations and ask if they need anything.
By checking in on your guests during their stay, you are ensuring that they are having a great experience and that your responsibilities as a host are being met. I included a few examples below!
After Check-In Message Template
Airbnb Message Template Ideas: Check Out Messages
Your check-out message is a checkout reminder that is sent the night before your guests are set to vacate the property. This message should remind your guests of the check-out time and should include clear, concise, step-by-step check-out instructions.
This step in the process can be critical to the smooth transition from the current guest to your next guest as it ensures that the guest checks out in time for any cleaning and maintenance that needs to be completed.
While this message can be sent just as checkout instructions, it can also be sent with what would typically be included in a post check out message. If this is the way you chose to go, it is very likely that this will be your last message to your guest. After providing check-out instructions, addressing any issues that may have come up during their stay, and encouraging your guest to be honest with any feedback that they have should be the top priority of this message.
If everything has gone well, and you and your guests are ending the stay on a positive note, this message provides a great time to request a review, thank them again for choosing your vocational rental, and let them know you would love to have them as guests again in the future. Wondering what to say? Try some of these examples!
Airbnb Message Template Ideas: Bonus Templates!
These bonus templates will help you tackle some of the most common guest requests. Having these well-thought-out Airbnb default message templates ready to go will help you provide helpful information to your guests so that they have the best experience and will save you tons of time!
They can include restaurant recommendations, Wi-Fi details, and troubleshooting, things to do in the area, finding the property, the pet policy, price discounts, and of, course, review requests.
